Job Summary: The Facilities Specialist is responsible for the day-to-day operations and maintenance of the company’s physical assets and facilities. This role involves ensuring a safe, functional, and well-maintained working environment, addressing facility issues, coordinating with vendors, and supporting space management efforts. The Facilities Specialist works closely with internal teams and external partners to optimize facility operations.
Key Responsibilities:
- Maintenance & Repairs:
- Perform routine inspections of buildings, grounds, and equipment to ensure facilities remain in optimal condition.
- Coordinate and oversee repair work for plumbing, electrical, HVAC systems, and other building services.
- Schedule preventive maintenance and ensure timely execution by service providers.
- Vendor & Contractor Management:
- Liaise with contractors, vendors, and service providers for facility-related services.
- Negotiate contracts and oversee their execution to ensure quality standards are met.
- Track and manage service agreements and warranties for all equipment and building systems.
- Health & Safety Compliance:
- Ensure all safety, health, and environmental regulations are adhered to within the facility.
- Conduct regular safety audits, and implement corrective actions as needed.
- Maintain fire protection systems and ensure emergency protocols are up to date.
- Space Management & Planning:
- Support office layout planning and provide input on space optimization projects.
- Assist in coordinating office moves, renovations, and reconfigurations.
- Maintain accurate floor plans and space usage data.
- Inventory & Supplies:
- Manage inventory of essential facility supplies, tools, and equipment.
- Ensure adequate stock of office and facility supplies by forecasting usage and placing timely orders.
- Oversee the distribution and storage of supplies and equipment.
- Security & Access Control:
- Maintain building security systems, including access control and surveillance.
- Ensure the facility is secure by managing key distribution and access badges.
- Respond to and resolve security issues as needed.
- Sustainability & Energy Efficiency:
- Identify and implement energy-saving initiatives in coordination with the Facilities Manager.
- Monitor energy usage and report on cost-saving opportunities.
- Promote sustainability efforts and best practices within the facility.
- Budget & Record Keeping:
- Assist in managing the facilities budget by tracking expenses and optimizing spending.
- Maintain records of facility-related purchases, maintenance schedules, and service agreements.
- Provide regular updates and reports on facility operations and expenses to management.
- Education:
- Diploma or Bachelor's degree in Facilities Management, Engineering, Business Administration, or a related field.
- Experience:
- 5+ years of experience in facilities management or a similar role.
- Skills:
- Knowledge of building systems, such as HVAC, electrical, and plumbing.
- Familiarity with health and safety regulations.
- Ability to manage multiple tasks and projects simultaneously.
- Proficient in using facilities management software and tools (e.g., CAFM, BMS).
- Excellent communication, negotiation, and problem-solving skills.
