Central Region
The Singapore Meetings & Events (M&E) Team organizes and oversees more than 130 events annually for the company’s employees. These events, hosted at various external venues, range from intimate training sessions for 10 attendees to large-scale office-wide events accommodating over 700 participants.
Scope of Events
The team manages a diverse portfolio of events, including:
- Private dining experiences (lunches and dinners)
- Training sessions and workshops
- Office-wide meetings and cocktail gatherings
- Community BBQs
- Graduate functions
- Other customized events
As a Meetings & Events Analyst, you will oversee the entire lifecycle of events — from initial briefings to post-event evaluations. Key responsibilities include:
- Interpreting and fulfilling client briefs
- Researching, sourcing, and negotiating with venues and vendors
- Managing event logistics, including audiovisual setup, catering, and run sheets
- Administering financial tasks such as budgeting, processing invoices, and reconciliation
- Drafting and disseminating communications and managing RSVPs
- Ensuring compliance with company policies and legal obligations
- Providing onsite support during events when required
- Advisory and Compliance:
- Guide internal clients on policies, ensuring adherence to insurance, legal, and safety standards.
- Recommend cost-effective solutions and promote internal venue use where applicable.
- Event Coordination:
- Act as the primary contact for clients and vendors.
- Develop and manage event budgets, secure approvals, and reconcile expenses.
- Handle logistics, including venue management, catering arrangements, and audiovisual setup.
- Administrative Excellence:
- Process deposits and invoices promptly, coordinating with the finance team to ensure accurate payments.
- Maintain high-volume administrative documentation.
- Communication Management:
- Draft communications and manage RSVPs using online tools.
- Work with internal teams (Marketing, Finance, Legal) and external suppliers.
- Program Enhancement:
- Collaborate with the ASEAN team to streamline and standardize event delivery processes.
- Brainstorm solutions for challenges and contribute to internal communications initiatives.
- A qualification in events management or a related field is an advantage.
- Exceptional customer service and communication skills
- Strong organizational, analytical, and problem-solving abilities
- Proficiency in event management tools and Microsoft applications (Excel, Word, etc.)
- Financial acumen for budget management and reporting
- Hands-on experience in stakeholder and vendor management
- Adaptability to dynamic environments and time management
- 1–3 years of event management, preferably in the hotel or catering industries
- Familiarity with Singapore’s venues and suppliers
- Occasional travel may be required.
